Members present: Joseph Drake- Executive director. Oversees the overall operation of the organization and has the authority to sign contracts. Samantha Nelson- Finance assistance Ron Newton-Board president Peter Gunter- Board member Gloria Barber- Board secretary Jeanette Power-Cooper- Board member Heidi Odom- Board member Absent: None Minutes The minutes of the March 22, 2018 meeting had been read by all members in advance of the meeting. Correction to be made: Peter motioned to approve the minutes, seconded by Jeanette and the minutes were approved. Welcome Ron welcomed Joe back from his "mini vacation", and thanked Marisol and Samantha for their work on the budget. Financial Statements 2"d Quarter(October to December 2017)- Statement of Activity Samantha explained the items which make up the gross profit. She explained that all of the expenses are separated by department, and how the numbers are calculated. The negative numbers for Medical/Dental are a reconciliation issue since the expenses are separated by department. Ron asked about "Space Rent", whether it should be "Rent" and Samantha explained that the names for each account are going to be edited at the time the budget is going to be entered into QuickBooks. Uncategorized expenses have been reconciled, but should have been noted as to what they are. The reason we have expenses separated by department is for funding, and for that reason, we want to minimize the Administration expenses. Last year, we added more categories to Education and Placement & Retention, and eliminated the Job Development category since it was no longer being used. For Employment Verifications, this expense is something we have to pay to verify clients we have placed are still employed, and is related to our contracts. 2"d Quarter(October to December 2017)-Statement of Financial Position Samantha went through the cash we have in each account, assets, depreciation, liabilities. She noted that we no longer have Automobile expenses. G/L # 1160 (Deposits) needs to be researched. Line 83 "ED Salary Payable" should be changed to "Deferred Comp", Note Payable is the loan amount due to Joe. Ron mentioned that the current year portion of the loan should be moved from long-term liability to short-term liability. Samantha noted she believes this will be done at the end of year. 2"d Quarter(October to December 2017)- Budget to Actuals LEP and Rise were over budget—more revenue than anticipated, Food Stamps is under partially due to the contract term. Rise is a pilot program under Food Stamps, which will be going away. "City Grants" is really a contract with Renton, Federal Way, Kent. Samantha thinks we should remove it from Grants and rename "City Contracts". Seattle Foundation Grant, funds not received until January. Uncategorized revenue has been moved, Samantha believes this was Seattle Foundation, but will check. Salaries—over budget due to pay increases and to how the expenses were allocated in the budget. The allocations for next year will align more closely to the time actually spent in each category. Joe will look at the allocations and make sure they are correct and spread out over more categories. Office supplies, telephone expenses are higher, some expenses are higher due to contracts. Insurance is high due to the down payment paid at the beginning of the term. $6700 over budget, mostly due to increased expenses relating to contracts. Changes to be made: 1. Uncategorized income $460.20 - income needs to be explored. 2. G/L # 1160 (Deposits) $3195 needs to be explored. 3. 4100 City Grants needs to explored (moved from "Grants") 4. Uncategorized Line 22 —needs to be explored. Peter motioned to approve the financials, Gloria seconded, the motion carried pending the changes. 2018/19 Proposed Budget Proposed budget has projections based on the actual revenue & expenses for 11 months of the current year and pro-rated for the 12th month. LEP contract is being decreased, so the amount has been reduced. Salaries had been increased due to pay increases and since we may have to hire additional staff(Navigator) if we get the SJI grant, and the amount was further adjusted to budget to cover a 2-3% salary increase and a Navigator's salary, and an increase by 12% of expenses—payroll taxes and medical. Office supplies and classroom supplies were reduced since the current year included purchases related to the Boeing Grant. We bought a copy machine, but have to payon the current contract, and then the Equipment Rental willgo away. $500 was Y added to Legal Fees. Samantha will put a column with the percentage of change from the previous year. Motion to Approve: 1St Peter, 2nd Gloria. Budget was approved. The executive director's Report: Boeing Grant and Seattle Foundation Grants—able to buy two new electric pallet jacks, projector, monitors, computers, copy machine, and phone system. Seattle Job Initiatives—Career Ready Program—Asking for $80,000, help pay for a Navigator and will be training individuals to be placed in manufacturing, and will be networking with the Boeing Foundation to help us get into Boeing. CARF—Another 3 year certificate, which is a great accomplishment City Grants—going through another proposal—allows residents of the cities to get access to free employment and training services. Joe will talk with Renton Reporter to see if we can stuff flyers into newspapers. Anniversary Party—had to cancel due to Joe's illness, but we will hold it next year and need to start planning. OIC of America—would be a good opportunity, and Joe needs to follow-up. Joe feels good about how things are going, and thanked all of the Board Members for being there and not just "rubber stamping" everything. Jeanette asked about the Drug and Alcohol Policy, which was discussed in the last meeting. Joe will verify that the procedures manual has been changed to reflect this. New Business The next meeting is set for August 15`" at 6:30 PM—two meetings in one for 3rd &4th quarter. November 14th --Annual Meeting and 990. The meeting was adjourned at 8:52 PM. Gloria motioned to adjourn the meeting and Peter seconded. • o., 0 CC I C I C I C I C ; C N N 7CP.
